I'm applying for the Office Manager role at Tarawera Civil. I have eight years running the office side of small businesses in surveying and freight, and at Pōhutukawa Surveying I run the office for a team of 20 surveyors and planners, from invoicing and supplier accounts to fleet bookings and IT requests.

Much of what keeps a firm running is the work nobody else wants to own. I raise around 120 client invoices a month in Xero and chase overdue accounts, which brought debtors over 60 days down from $48,000 to under $12,000. I also keep the health and safety register, incident reports and site induction records up to date, and I prepared the paperwork for the company's first external audit, which passed with no corrective actions.

I like setting up simple systems that last. I moved our job files from shared drives to SharePoint with a clear folder structure, and I wrote a new-starter checklist we've used for the nine people hired since. Before that, at Ōkere Freight, I matched around 300 supplier invoices a month against delivery dockets and caught about $6,000 in double charges in one year. A civil firm with crews on site would let me take on the whole office and build what it needs as it grows.

What gets office administrator letters skipped.

  • Writing "general office duties" and leaving it there.

    Give the size of the team you support and the volume you handle, such as 120 invoices a month for a team of 20.

  • Leaving out the less glamorous work.
