Anna Faleolo, Contact Centre Manager

Kererū Telecom, Manukau

Re: Customer Service Team Leader

Kia ora Anna,

I'm applying for the Customer Service Team Leader role in your contact centre. I have five years in busy energy and broadband contact centres, and at Pīwakawaka Energy in Auckland I handle 60 to 70 calls and chats a day on billing, moving house and payment plans.

A team leader needs strong results and the patience to help others get there. I resolve 82 percent of enquiries on the first contact against a team target of 75 percent, and I've kept a customer satisfaction score of 4.7 out of 5 over the last 12 months. I buddy new starters through their first two weeks on the phones, and I set up payment plans for customers in hardship and refer them to budgeting services. At Kahu Broadband I took escalated complaints from the front line and closed them within the agreed time, and I talked customers through modem and wifi fixes, avoiding a technician visit for most.

I'd like to move into leading a team, and a telco contact centre suits the mix of billing and technical enquiries I've handled across both jobs. Helping new starters settle in is already the part of my week I enjoy most.

I work in Salesforce and Zendesk, type at 55 words per minute and speak English and Samoan. I'm available for rostered shifts, including weekends, and I'd be glad to meet for a chat.

Ngā mihi,

Losa Tuilagi

  1. 1Opens with the job and the volumeFive years across two contact centres and 60 to 70 contacts a day show a manager straight away that she can handle a busy floor.
  2. 2Numbers a contact centre measuresFirst-contact resolution against target, satisfaction scores and closing escalations are the figures a team leader is judged on, and buddying new starters shows she already coaches.
  3. 3Why this job, from her own experienceIt links her billing and broadband background to a telco's work and names the step she wants, without claims about the company.
  4. 4Systems, languages and availabilityContact centres check systems, typing speed and shift availability early, and a second language is a real asset for many customer bases.

Opening lines

Other ways to open.

The first line decides whether the rest gets read. Each of these names the job and leads with proof. Swap in your own facts.

  • “I'm applying for your Customer Service Representative role, bringing five years in energy and broadband contact centres across phone, chat and email.”
  • “With a first-contact resolution rate of 82 percent against a team target of 75 percent, I'd like to be considered for your Senior Customer Service role.”
  • “As someone who already buddies new starters through their first two weeks on the phones, I'm applying for your Team Leader position.”
  • “I'm applying for the Complaints Specialist role, with experience closing escalated complaints within the agreed time.”

Common mistakes

What gets customer service representative letters skipped.

  • Saying you're good with people without any numbers.

Give your first-contact resolution rate, satisfaction score or daily volume. Contact centres track these, so they carry weight.

  • Leaving out when you can work.

Say which shifts you can do, such as rostered shifts including weekends. It's one of the first things a contact centre checks.

  • Forgetting the channels and systems.

Name the channels you work in, like phone, chat and email, and the systems you know, such as Salesforce or Zendesk.

FAQ

Questions, answered.

Do customer service jobs in New Zealand need a cover letter?

Many don't ask for one, but a short letter helps for senior, team leader or specialist roles, and it shows you can write clearly to customers.

Should I mention a second language?

Yes. Many contact centres serve customers who prefer another language, so name it in the letter as well as on your CV.

How do I show I'm ready to lead a team?

Point to what you already do, such as buddying new starters or taking escalated complaints, and pair it with results that are above target.
