About the Role

As Team Administrator, you will provide high-quality administrative, operational and coordination support across Ophthalmology and ENT. Working alongside the Service Manager, Clinical Leads and multidisciplinary teams, you will help ensure the smooth day-to-day operation of the Ophthalmology and ENT services.

This is a varied and rewarding role that combines administration, workforce coordination, governance support and operational planning. You will coordinate meetings and governance activities, manage rosters and leave processes, support recruitment and onboarding, arrange travel and events, maintain service documentation, assist with financial processes and contribute to workforce planning activities. Your ability to manage competing priorities and build strong working relationships will be essential to supporting high-quality patient care across the Directorate.

About the Team/Service/Location

Surgical & Perioperative Services is one of the largest clinical directorates within Health New Zealand Te Tai Tokerau, bringing together a wide range of specialist services that support patients across Northland. Our administration team plays a vital role in enabling clinical services to operate efficiently, providing essential support to medical, nursing and allied health teams while helping deliver exceptional care to our communities.

About you

As an experienced administrator, coordinator or executive support professional, you will be highly organised, adaptable and confident working in a busy healthcare environment. You will also bring:

  • Proven experience in a personal assistant, secretarial or administrative support role
  • Strong Microsoft Office skills, particularly Word and Excel, with excellent attention to detail
  • Experience coordinating rosters, workforce administration or complex scheduling activities
  • Exceptional organisational, prioritisation and communication skills, with the ability to manage multiple deadlines
  • The ability to maintain confidentiality, exercise sound judgment and build effective relationships across multidisciplinary teams

Experience working with the health sector and an understanding of healthcare systems and processes will be highly advantageous.
