The Opportunity | Te āheinga

We’re looking for an exceptional Executive Assistant to provide high-level executive support to our newly appointed Chief Executive at New Plymouth District Council.

This is a permanent opportunity, becoming available due to the retirement of our long-serving incumbent. As a trusted partner to the Chief Executive, you’ll play a pivotal role in ensuring the smooth and effective operation of the office, enabling strategic priorities to be delivered across the organisation.

This is a dynamic and varied position where your exceptional organisational skills, attention to detail, discretion and ability to anticipate needs will truly shine. You’ll be at the centre of a fast-paced environment, expertly managing competing priorities, coordinating complex schedules, facilitating communications and supporting key organisational initiatives.

Success in this role will come from your ability to build trusted relationships with elected members, leadership teams, staff and external stakeholders, while maintaining absolute professionalism and confidentiality. You’ll be proactive, adaptable and thrive on creating order, finding solutions and keeping everything running seamlessly behind the scenes.

Key Responsibilities | Ngā haepapa matua

  • Providing professional, high-quality executive support and secretarial services to the Chief Executive.
  • Coordinating administration tasks such as diary and email management, travel arrangements, meeting coordination and minute-taking.
  • Assisting with preparation and presentation of key documents, reports, and communications.
  • Supporting payment processing and maintaining information systems.
  • Handling confidential and sensitive information with discretion.
  • Identifying opportunities for process improvement and efficiency.

Essential Skills and Experience | Ngā pūkenga me ngā wheako

  • Advanced computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong document presentation skills and attention to detail.
  • Ability to work collaboratively and maintain confidentiality.
  • A current driver’s licence.
  • Experience in project or event coordination and familiarity with information systems will be an advantage.

You can expect to start in this permanent, full-time role with a salary of between $84,966 - $91,574.
